So here is a overall summary of what needs to happen and what's been accomplished so far:

General Line-up:
-The Dells: 4-5 songs
-DePauw Capella: 4-5 songs
-Bootleg (String Quartet): 4-5 songs
-Jennifer Peacock/Stephen Shannon: 1-2 songs
-Brad Harris: 1 song

FOOD:
-Burke is in the process of getting ahold of Steve Santo.
-We need to decide how much coffee and hot cocoa we need (or punch if those don't work)
-How many donuts are we going to get, from where, and who is getting them.
-Do we want cookies as well?
-Laura, do you have any ideas for how to set up the food? Like, plates, bowls for toppings, etc.?
-If anyone has a car/time, we should go to kroger/walmart to get marshmallows, candy canes, and whipped cream!! Let me know!

Decorations:
-Laura, let us know how decoration stuff is going - I am sure you have it all under control :)

Program:
-Sarah, DePauw Capella can't get me their set list till tomorrow night but then we can finalize the order and get the "program" finished.
-We need to either figure out the projector thing or just have people MC the concert

Lighting:
-We need to decide what lighting each group will have
-I suppose we should have a schedule for how to change the lighting and have a lighting crew

Publicity:
-KEEP TALKING UP THE CONCERT
-Invite everyone on Facebook and see if there are flyers to hand out to people


This thing is gonna be so cool. You guys rock.

  1. Okay, per the post below, Laura and I went to the Ballroom and figured out each lighting and table/chair/food set-up.
    The Dells would like to use the projector for colored lights, so I'll shoot an email to the Ballroom Coordinator later tonight. The "program" is about to be typed, I guess I just needed the amount of songs for each group.....uhm...I would vote for over 100 donuts and we can cut some in half too because we have about 90 responses on facebook and we should anticipate others stopping in. I have no idea how much cocoa and coffee that means though :/.Can we use the leftover cookies from the gala as well? I don't find that tacky at all, only delicious.

  2. From the email, it appears that the coffee, hot chocolate, and coffee are taken care of. Those who offered to use money from their account probably will need to go at the same time to have your cards swiped, although maybe they can just charge your food $ accounts.

    Meanwhile, the projector is NOT one suspended from the ceiling. It's just on a cart, which means it would be in the middle of the room right where you are going to have people sitting.

    I would say that 90 "I'm coming" responses on FB means about 40-45 of them will actually show--there were 50+ responses for the cello event tonight, and I think about 25-30 of them were there (maybe slightly more including the performers).

    Donuts cost about $4/dozen from Walmart (Krispy Kremes).

  3. Here is the line-up with the number of songs for the ensembles tomorrow, for whoever is doing tech the lighting should be different for each group. Laura has a sheet with the specific lighting for each group and which light switch controls which light. Also, Brad Harris cannot play because of a saxophone studio, but we have the option of another guy filling in and playing coffee house style guitar stuff. I think we might be okay with the amount of music that we have though.

  4. Once Sarah and I get the repertoire list finalized we can decide if we want MCs or a projection - either one would be fine, we just need to figure it out. Also, is everyone gonna meet up right at 6 tomorrow? That would probably be best - also, when should the "artists" get there?
